Spring MACE '13 Exhibitor Information


The Spring MACE conference is for teachers, administrators, library media specialists, technology coordinators, office personnel, school board members, and any individual using computer technology in the classroom or office.

Exhibitors that offer instructional and administrative hardware, software, contractual services, and/or educational products to schools, are invited to display their products and services at the conference.

Conference Dates: March 7 & 8, 2013
Location: Alumni Center, Kansas State University, Manhattan

Registration: accepted until spaces are full, see Registration section below for details.

Setup: Wednesday, March 6, 1:00 p.m. to 5:00 p.m.
Setup: Thursday, March 7, 7:00 a.m. to 8:00 a.m.

Display: Thursday, March 7, 8:00 a.m. to 6:00 p.m.

**Premier Vendor space in Manhattan is limited. This limit is set by the number of available rooms we have for presentations. We are looking at options to expand Premier participation at future conferences. If you are interested in being a Premiere Vendor please contact one of the Conference Chairs or Cindy Montgomery.

Exhibit area is open on Thursday, March 7 only, from 8:00 a.m. to 5:15 p.m.

Exhibitor Sessions

A session for this conference is a 45 minute block of time. We have 16 blocks available.

Sessions are offered on Thursday morning, March 7, from 8:00 a.m. to 9:40 a.m.

Sessions will be placed in one of four categories: Demo, Talk, Roundtable, or Hands-on. Complete details are on the proposal form.

Session Proposals Due: open until spaces are full.

Accepted proposals received before 5:00 p.m. on February 21, 2013 will get their information in the conference book.

If your proposal is accepted you will participate at the Vendor I level for your booth in the Exhibitor Courtyard. If your proposal is not accepted you will participate at the Vendor level for your booth in the Exhibitor Courtyard.

If you are accepted as a Premier Vendor you will paticipate at the Premier level for your booth in the Exhibitor Courtyard.

The statements submitted by those involved in the session will be made available to the conference participants so they can select and attend sessions that will be of greatest interest to them.

MACE will provide a video projector and screen in all session rooms. Exhibitors are responsible for providing all other equipment and software needed for their session.

MACE reserves the right to reject any proposal.

Registration & Cancellation

MACE will accept Exhibitor registrations until all spaces are gone, this includes the day of the conference.

Space is limited so we have a "first-come, first-paid policy".

Registrations received before 5:00 p.m. on February 21, 2013 will get their company information in the conference book.

To guarantee vendor level benefits at Spring MACE please complete the online registration form, then mail your check for the appropriate amount. In-kind goods may be accepted in lieu of cash payment.

Exhibitors are required to pay registration for each person working in the booth. If this is an unknown factor when you register, your fee will be adjusted after the conference to reflect charges for the number of people who worked in your booth.

Notice of cancellation must be received by Cindy Montgomery.

Cancellations accepted until 5:00 p.m. February 21, 2013.

Conference fees will be required to be paid even if you do not attend the conference, unless you follow the cancellation procedure.

Internet Access

The Alumni Center and KSU Student Union have wireless Internet Access.

If you require a "wired" connection please indicate that on the registration form. There is a $50.00 fee for setting up the wired connection. Every effort will be made to accommodate a "wired" connection request, but not guaranteed.

Please read the KSU Information for Visitors & Guests to make sure your computer meets the requirements for connection to the KSU network.

The campus network actively scans for computers in violation of these policies, and if detected your computer may not be allowd to connect.

An email will be sent to all conference attendees with the settings needed to make a wireless connection.

Drawings and Giveaways

We are promoting individual drawings and prize giveaways by each exhibitor!

On Thursday evening we host a Social Hour from 5:15 p.m. to 6:00 p.m. at the Alumni Center. Each exhibitor, if participating, is responsible for having their prize, and drawing slips with winner, available at the Registration Desk by 5:00 p.m.

Parking

The parking garage at K-State is open and MACE attendees will be able to park in the garage during our conference. The parking garage is just across the street (east) from the Alumni Center.

MACE will offer free parking at 200 spaces in the K-State parking garage.

The garage will be open to MACE participants from 7:00 am to 6:30 pm on Thursday, and 7:00 am to Noon on Friday.

You will need the MACE parking pass to show to K-State staff as you enter and exit the garage. Information about the MACE parking pass will be sent to you in an email before the conference.

Car pooling is suggested as each car that enters the garage counts towards our 200 spaces.

If you are staying in the hotel across the street from the Alumni Center we ask you to leave your car in the hotel parking lot.

Using the Alumni Center parking lot...

1. On Wednesday: the Alumni Center parking lot is available.

2. On Wednesday: you must obtain a permit (free) inside at the front desk to be placed in your vehicle.

3. On Wednesday: The parking lot is patrolled, no permit will get you a parking ticket.

4. On Thursday and Friday: the Alumni Center parking lot is available.

5. On Thursday and Friday: no permit needed, the lot will not be patrolled.

6. The Alumni Center parking lot has 52 stalls, 4 are for handicap parking.

Make your check payable to MACE and mail to Cindy Montgomery.

Payment is expected before the conference dates. All special arrangements in regards to payment must be made with Cindy Montgomery before the conference dates.
